This Privacy Policy explains how Azaris LLC(“Azaris,” “we,” “us,” or “our”) collects, uses, and shares information when you visit our website or use Azaris Sales, our AI inbound sales agent with a built-in CRM (collectively, the “Services”). Azaris Sales is in early access and is currently offered in the United States only.
This Policy covers two kinds of people: our customers — the businesses that hold accounts — and their prospects— the leads stored in a customer’s CRM. We call out prospect data separately below because we handle it differently: we process it only on the customer’s behalf. By using the Services, you agree to this Policy.
Information we collect
Information you provide
- Account information — your email address and sign-in credentials. Authentication is handled by Supabase; you can sign in with email and password or with your Google account.
- Business data — the playbook you build for your agent (your offer, ideal customer profile, qualification questions, approved claims, and tone), your settings, and your billing status.
- Payment information — when you subscribe, payment is processed by Stripe. Your card details never touch our servers; we receive limited billing details such as the last four digits, card brand, and billing status.
- Communications — messages you send us by email or through forms.
Prospect data (your leads)
When you use Azaris Sales, your leads’ information enters the built-in CRM: names, email addresses, phone numbers, companies, and conversation history. It arrives through your website forms, CSV imports, connected inboxes, and — when available — web chat. We store this data in your CRM and process it solely to provide the Services on your behalf: qualifying leads, drafting messages for your review, and keeping your pipeline current. You are responsible for having the right to submit prospect data to the Services.
When a prospect opts out of outreach, we record it in a suppression list that blocks all future outreach to that prospect. The suppression list cannot be overridden — we enforce it at send time. Outreach sent through the Services must honor unsubscribe requests under CAN-SPAM and applicable law. Prospects may contact us at azaris@azaris.ai, or the business that contacted them, about their data.
Information collected automatically
- Usage and device data — IP address, browser type, pages viewed, and similar log data.
- Cookies— we use strictly necessary cookies for authentication and session management only. See “Cookies” below.
Information processed through the Services
When you connect accounts (such as Gmail, Google Calendar, or — when available — a meeting recorder), content from those accounts flows through the Services so your agent can operate on your behalf. We process this content only to provide the Services. You are responsible for ensuring you have the rights and any necessary consents to connect those accounts and provide that content.
How we use information
- To provide, operate, maintain, and improve the Services.
- To draft messages, qualify leads, and prepare summaries for your review and approval.
- To create and manage accounts and process subscriptions and payments.
- To respond to inquiries and support requests.
- To send service, security, and transactional messages.
- To send product updates (you may opt out at any time).
- To enforce the prospect suppression list and prevent outreach to opted-out prospects.
- To detect, prevent, and address fraud, abuse, and security issues.
- To comply with legal obligations and enforce our terms.
How we share information
We do not sell your personal information — or your prospects’. We share information with:
- Service providers (subprocessors)who help us run the Services: Supabase (database, authentication, and encrypted secrets storage), Fly.io (infrastructure — each customer’s agent runs in its own isolated virtual machine with its own storage volume), Stripe (payments), Resend (transactional email), PostHog (product analytics), Sentry (error monitoring), and third-party AI model providers. These providers are permitted to use the information only to provide services to us.
- Legal and safety — when required by law, or to protect the rights, property, or safety of Azaris, our users, or others.
- Business transfers — in connection with a merger, acquisition, financing, or sale of assets.
AI model providers
Message drafts, lead qualification, and summaries are generated by third-party large-language-model providers, which process relevant content — including prospect messages — to produce them. We do not use your content or your prospects’ content to train AI models. Providers retain data according to their own policies, and their handling of that content is governed by their own terms; you should review the applicable provider terms.
Connected Google account
If you connect a Google account, Azaris requests only the access needed to operate your sales agent: Gmail (reading replies on threads your agent is tracking, and sending messages you have approved) and Google Calendar (checking your availability and booking meetings).
- How we use it — Google user data is used solely to provide the user-facing features described above: tracking replies, sending your approved messages, and scheduling meetings. We never use it for advertising.
- How we store it— your Google OAuth tokens are stored encrypted in Supabase Vault and injected only into your own isolated agent runtime. They are never shared between customers. Message content is processed to fulfill your agent’s work and retained only as needed to provide the Services (for example, in your CRM’s conversation history).
- How we share it — to draft replies and summaries, relevant content may be sent to the third-party AI model provider used by your agent for processing. We never sell Google user data and never share it for advertising purposes.
- AI/ML — we do not use Google user data, including Gmail content, to develop, improve, or train generalized or non-personalized AI/ML models. Humans do not access your Google user data except in the narrow cases the Limited Use policy permits: with your affirmative consent (for example, to debug an issue you report), to address security or abuse, to comply with applicable law, or where the data has been aggregated and anonymized.
- Revoking access — you can disconnect Google at any time from your settings, or revoke access directly at myaccount.google.com/permissions. On disconnection we delete the stored OAuth tokens.
Azaris’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. In plain terms: Google user data is used only to provide the features you see in the product, is never used for advertising, is never sold, and is not read by humans outside the Limited Use exceptions above.
Meeting recordings (when available)
We plan to support connecting a meeting recorder (for example, Fathom). When you connect one, Azaris receives transcripts and summaries of your meetings — not the raw audio or video — and uses them to produce cited follow-ups. The recorder remains the authority for the recordings themselves; managing or deleting the underlying media happens in the recorder’s product, under its policies.
Cookies
We use cookies and similar technologies that are necessary to sign you in, keep you signed in, and secure the Services. We do not use advertising cookies or third-party ad tech. You can control cookies through your browser, but disabling necessary cookies may break core functionality.
Data retention
We retain information for as long as needed to provide the Services and for legitimate business or legal purposes. You can export your CRM data (contacts, conversations, and playbook) as CSV or JSON from within the product at any time. If you delete your account, we delete or anonymize the data we store — including prospect records — and revoke the tokens for your connected accounts.
Your rights
Depending on where you live, you may have some or all of the following rights regarding your personal data:
- Confirm whether we process your personal data, and access it.
- Correct inaccuracies in your personal data.
- Delete personal data we hold about you.
- Obtain a portable copy of personal data you provided to us.
- Opt out of the sale of personal data, targeted advertising, and certain profiling. We do not sell personal data, use it for targeted advertising, or use it for profiling that produces legal or similarly significant effects.
If you are a prospect — someone whose information a business stores in its Azaris CRM — you can contact that business directly, or contact us at azaris@azaris.ai, and we will assist with your request. Opting out of a business’s outreach adds you to a suppression list that blocks all future outreach from that business through the Services.
To exercise any of these rights, contact us at azaris@azaris.ai. We will respond consistent with applicable law and may need to verify your identity first.
Appeals. If we decline to act on your request, you may appeal by replying to our decision or emailing azaris@azaris.aiwith “Appeal” in the subject. We will respond within the time required by applicable law. If your appeal is denied, Texas residents may contact the Texas Attorney General at texasattorneygeneral.gov.
Security
We use reasonable administrative, technical, and organizational measures to protect information. Each customer’s agent runs in its own isolated runtime — a dedicated virtual machine and storage volume — and secrets such as connected-account tokens are stored in an encrypted vault and never shared between customers. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
International transfers
Azaris Sales is currently offered in the United States only, and we and our service providers primarily process information in the United States. Where information is processed elsewhere, we use appropriate safeguards for such transfers.
Children
The Services are not directed to children under 16, and we do not knowingly collect personal information from them.
Changes to this Policy
We may update this Policy from time to time. We will revise the “Last updated” date above and, where appropriate, provide additional notice.
